ESSENTIAL JOB FUNCTIONS:

  • Actively sells room nights through outside sales calls, telemarketing, tours, etc.
  • Actively markets the hotel through advertising, blitzes, direct mail campaigns, etc. Attends all relevant sales events in the area including Chamber events and business after hours events.
  • Actively sells to in-house guests
  • Establishes lists of top accounts and top target accounts. Maintains communication with these accounts on a monthly basis
  • Analyzes and understands the competition’s strengths and weaknesses for each market segment and successfully directs marketing activities against each.
  • Maintain complete knowledge of and comply with all hotel/departmental policies and procedures.
  • Maintain outside sales call schedule as directed by GM and as business demands allow/dictate.
  • Ensure that all clerical work is processed on a timely basis; this includes the following:
  • Top twenty accounts (monthly).
  • Market share analysis
  • Weekly Sales overview/Monthly reports.
  • Organize traces for follow-up; be familiar with status of each.
  • Ensure work area is kept organized and clean.
  • Review Group Master bills for the previous day’s groups; ensure accuracy of charges and presence of guest signature. Resolve discrepancies.

  • Ensure that all incoming calls are answered within 3 rings with proper greetings and telephone etiquette.
  • Maintain departmental call reports. Ensure timely follow up on all accounts.
  • Monitor response time to messages, ensuring that all messages are returned within 18 hours.
  • Establish standardized form letters for use by all as response to inquires, tentative/definite bookings, thank you, cancellations and re-bookings. Ensure appropriate letters are sent and filed.
  • Actively solicit and book business following hotel standards.
  • Meet with clients to work out the details of their functions. Escort clients through the property and highlight features of facility as well as available services. Introduce clients to appropriate management staff.
  • Suggestively sell guest rooms to meet the client's needs and maximize revenues.
  • Ensure that all definite functions are detailed accurately on Group Contracts, signed by clients and distributed to designated departments on a timely basis. Resolve any discrepancies with client.
  • Review estimated room blocks and ensures that FIRM cut off dates are communicated for 30 days prior to scheduled first arrival. Ensure that the General Manager approves any exceptions in advance.
  • Monitor changes to Group Contracts; ensure that accurate information is communicated to respective departments on a timely basis in order to best service the client. Resolve discrepancies with hotel staff.
  • Assist in the preparation of occupancy and revenue forecasts.
  • Prepare and distribute amenity request forms for specified clients. Obtain designated approvals and follow up on delivery.
  • Check function room set ups prior to guest arrival, ensuring all details are in agreement with client's requirements and hotel standards. Ensure respective personnel correct deficiencies.
  • Welcome group contact upon arrival at function and ensure guest satisfaction.
  • Meet tour/bus groups upon arrival to hotel, welcoming and assisting in a smooth registration.
  • Assist in supervising the service of functions, ensuring guest satisfaction.
  • Monitor, handle and process all billing/payment procedures according to accounting standards.
  • Monitor guest reactions and confer with service staff to ensure guest satisfaction.
  • Anticipate guests’ needs, respond promptly and acknowledge all guests, however busy and whatever time of day. Promote positive guest relations at all times.
  • Be familiar with all hotel services/features and local attractions/activities to respond accurately to any guest inquiry.
  • Monitor and handle guest complaints by following hotel procedures and ensuring guest satisfaction.
  • Contact clients after scheduled visit to ensure guest satisfaction and to solicit re-bookings.
  • Conduct formal training program on the required job functions with criterion expected and department orientation with new hires. Conduct on going training with existing staff.

  • Conduct group booking review as scheduled with the hotel’s General Manager. Identify the potential dates that pose a high demand and participate in yield discussions. Develop strategies for high demand periods.
  • Prepare and distribute the monthly booking report according to procedures. Compare actual to forecast.
  • Participate in developing an annual Marketing plan in accordance with hotel specifications. Complete monthly action steps and follow up on each. Adjust and update the marketing plan each quarter.
