The Finance Coordinator is responsible for assisting daily fiscal operations of the agency. The position assists the Senior Director, Administration and Finance in meeting the financial requirements of the agency and assures compliance of over 20 federal and state grant funding sources. This position ensures smooth execution of agency-wide grant requirements and in-kind processes. This is a full time, non-exempt position hired by, and directly accountable to the Senior Director, Administration and Finance under the direction of the Executive Director.

 

SPECIFIC DUTIES: 

  1. Maintain high level of professionalism including personal integrity, ethical decision-making, and the confidentiality standards of the agency
  2. Works independently on routine and assigned bookkeeping and accounting tasks as directed by Senior Director, Administration and Finance.
  3. Work directly with the Finance Department to monitor daily transactions for compliance with grant requirements and ensure compliance as designated by grant budgets.
  4. Compiles and monitors all accounts payable, recording transactions, and preparing weekly payments of invoices with accuracy and completeness.
  5. Process monthly credit card expenses as submitted by staff.
  6. Setup new vendors in accounting software, collect and maintain necessary documents for vendors.
  7. Maintain vendor files in compliance with organization documentation retention policy.
  8. Monitor and track fixed asset inventory including quarterly monitoring.
  9. Provide additional documentation to funders when required. Prepare grant monitoring documentation as requested by the Senior Director, Administration and Finance.
  10. Review and calculate in-kind match monthly.
  11. Assist with the annual audit process by preparing necessary documentation and reports for audit compliance and oversight.
  12. Attend meetings as required and assist the Senior Director, Administration and Finance, as needed.
  13. Maintain robust internal controls to safeguard organizational assets and ensure compliance with financial policies.
  14. Coordinate financial services of agency with advocacy staff including accepting, monitoring for accuracy, and filing receipts and other financial documentation.
  15. Perform all other duties as assigned by the Senior Director, Administration and Finance and Executive Director.

 

Requirements
  • A minimum of an Associate’s Degree or at least 5 years of experience. Any combination of education and experience that demonstrates the knowledge and ability to perform the work. Experience with non-profit accounting is desirable but not required. 
  • Proficient in general accounting principles and record keeping systems.
  • Basic understanding of grant budgets and rules around allowable expenses.
  • Attention to detail and strong organizational skills to operate efficiently in both electronic and paper filing systems, handle sensitive information and maintain highest level of confidentiality.
  • Ability to work under highly stressful, crisis-oriented situations
  • Creative and innovative problem-solving and conflict resolution skills
  • Ability to handle multiple projects at one time and ability to shift focus with little loss of productivity.
  • Adhere to the Designated Member Program Service Standards of ZeroV.
  • Commitment to complete required training for Certification as Domestic Violence Advocate.
  • Completion of First Aid, CPR, and Blood-borne Pathogen Training.
  • Valid Kentucky driver’s license and proof of vehicle insurance.
  • Submit to a criminal background check.
